Many hotels have modernised part of their technology stack and still run daily operations with methods from another era. They have a solid PMS, sometimes a well-designed guest app, but as soon as requests have to be executed in the field, teams fall back on Excel, SharePoint, Google Sheets, messaging apps, emails, phone calls and even radios. That is the paradox: hospitality talks a great deal about innovation while a large share of its operations still rests on rigid systems and manual workarounds.
Many hoteliers assume that a good PMS and a guest-facing app cover the essentials. On paper it makes sense: the PMS centralises bookings, guest profiles and some preferences, while the guest app captures service requests. In practice the chain breaks between digital data and real execution. Teams still export bookings into spreadsheets to flag special requests, send tickets through messaging apps, print lists before shifts, or copy information from one tool to another.
This patchwork creates information silos. A maintenance request raised by a guest in the app may never be properly connected to the right execution flow. A VIP preference noted in a spreadsheet can be forgotten. A housekeeping team can lose considerable time cross-checking several sources before a guest arrives. The problem is not the absence of technology but the absence of operational orchestration between the tools.
Legacy systems often feel reassuring because they have been in place for a long time and appear stable. That stability has a hidden cost. These tools frequently lack native automation, adapt poorly to the real structure of a hotel, and force teams to build parallel workarounds inside or outside the system.
It is common to find hotels using one tool for cleaning, another for maintenance, a third for facility management, a fourth for audits and yet another platform for preventive maintenance. The larger the property, the more this fragmentation slows workflows and weighs on profitability. It is not only a software comfort issue. It is a direct operational performance issue.
When systems cannot automate repetitive tasks and connect information, the load falls on field teams. Receptionists juggle a stack of open windows. Managers spend time checking, chasing and correcting. Housekeeping and maintenance work from partial or outdated information. Over time frustration grows, execution quality drops and retaining staff becomes harder.
The same problem reaches the guest experience. A promised bottle of champagne may never arrive. A cot may be missing at check-in. A special instruction may get lost between tools. These incidents look anecdotal, but they damage the brand promise directly and feed negative reviews. At a time when online reputation strongly influences bookings, such failures are no longer minor.
Hotels usually already hold the right information in their PMS. If a booking mentions a baby, that data should automatically trigger a task to set up a cot. If a VIP guest has booked a champagne package, the request should appear immediately in the right operational flow. The problem is not missing data but the system's inability to turn that data into an automatic field action.
In other words, many hotels have passive data where they need live execution logic. That is the difference between a digitised stack and a stack that is genuinely useful to operations.
There is one angle that often gets overlooked: the physical structure of the property. Many older systems oversimplify the building, as if room numbers and floors were enough. In reality, two rooms on the same floor can be far apart, separated by corridors, wings, service lifts or even distinct buildings.
Assigning those rooms to the same attendant without accounting for that geography wastes time, increases unnecessary movement and slows execution. A system should be able to model the hotel at a finer level: zones, sub-zones, wings, annexes, sections. That is what allows cleaning, maintenance or VIP preparation requests to be assigned automatically to the right person, in the right service area, at the right moment.
There is a strong bias in hospitality: they have it, so I want it too. Many properties stay attached to legacy solutions because they are visible in the market, installed in large groups or have been around a long time. Longevity gets mistaken for relevance. The idea that a modern, flexible, automatable tool might do the job better feels risky or too good to be true.
That inertia explains why some hotels keep paying for software while constantly falling back on paper, printouts and sticky notes. The implicit conclusion is blunt but fair: if you still have to work around the system with analogue methods, the return on that software becomes very questionable.
The point is not simply to change tools. It is to stop stacking technology. A hotel does not need yet another isolated housekeeping tool. It needs a platform able to connect PMS data, guest requests, maintenance, audits, room preparation and the real structure of the property into one coherent operational flow.
When that logic exists, the benefits are concrete: less duplicate entry, fewer oversights, less friction between departments, less time spent piecing information back together, and more availability for what actually matters, namely service quality and guest experience. Automation does not replace people. It frees them from pointless tasks so they can execute better.
Hospitality does not suffer only from a lack of tools. It suffers from an excess of poorly connected tools, often inherited from another era. As long as hotels bend their operations to the constraints of rigid systems, their teams will stay stuck in re-entry, manual workarounds and avoidable errors. The properties that genuinely modernise and automate their operations gain in fluidity, guest satisfaction, team engagement and profitability.
